Booking Management

Booking management is the heart of CampDESK Pro. Here you create, edit and manage all reservations for your campsite.

Creating a Booking

You create a new booking as follows:

  1. Click “New booking” or use the quick action on the dashboard
  2. Choose the desired period (arrival and departure date)
  3. Choose a pitch category or a specific pitch
  4. Enter the guest details or select an existing guest
  5. Add optional extras (electricity, dog, second vehicle, etc.)
  6. Check the price calculation and confirm the booking

Booking Status

Every booking passes through several statuses:

StatusMeaning
RequestGuest has enquired, not yet confirmed
ConfirmedBooking is bindingly confirmed
Checked inGuest is on site
Checked outGuest has left the site
CancelledBooking was cancelled
No-showGuest did not arrive
## Editing a Booking

You can adjust existing bookings at any time:

  • Change period: extend or shorten the stay
  • Change pitch: move the guest to another pitch
  • Adjust extras: add or remove additional services
  • Update guest data: correct contact details or number of people

Cancellation

When cancelling you have these options:

  • Free cancellation (depending on your cancellation terms)
  • Cancellation with a fee (calculated automatically from the stored rules)
  • Issue a credit note for future bookings

Rebooking and Relocating

If a guest has to change pitch, use the “Relocate” function:

  1. Open the affected booking
  2. Click “Change pitch”
  3. Choose the new pitch from the availability view
  4. Confirm the relocation
The price calculation is adjusted automatically if the category changes.

Booking List and Search

The booking list offers:

  • Filtering by status, period, category and pitch
  • Full-text search by guest name or booking number
  • Sorting by arrival date, creation date or guest name
  • Export of the filtered list as CSV

Occupancy Plan

The visual occupancy plan shows all pitches on a timeline. Drag and drop lets you move or extend bookings. Colour coding marks the respective booking status.
